Operations Coordinator

About the Role:

The Operations Coordinator ensures the smooth operation of our Chilean office and warehouse, supports logistics for equipment and services across LATAM projects, and supports health and safety (H&S) processes. This role combines responsibilities in office management, equipment logistics, and health & safety (H&S), playing a key part in operational execution and regulatory compliance.

Key Responsibilities:

Office & Facilities Management
• Oversee the general condition of the office and warehouse, ensuring cleanliness, safety, and functionality.
• Manage relationships and contracts with providers (supplies, cleaning, maintenance, courier, security).
• Track and report office/warehouse-related expenses.
• Maintain and monitor inventory of office and warehouse assets and equipment. Coordinate repairs or replacements.

Logistics Coordination
• Coordinate the import/export and movement of trailers and other equipment.
• Prepare and manage customs documentation and interface with customs agents.
• Maintain accurate records of equipment locations and usage across projects.
• Liaise with logistics companies and coordinate trailer authorizations at client sites.
• Align logistics operations with internal stakeholders (engineering, operations, field teams).
• Coordinate bookings for individuals from the LATAM offices and those visiting the LATAM offices.

Health & Safety (H&S)
• Support compliance with Chilean and GeologicAI H&S regulations and customer site requirements.
• Coordinate employee inductions and PPE distribution.
• Maintain and update emergency plans and risk prevention protocols for Latam.
• Liaise with ACHS for procedures and documentation.
• Assist in incident and near-miss reporting and documentation.

Qualifications:
• Engineering degree or relevant post-secondary education.
• 1+ years of experience in logistics, operations, or office coordination.
• Familiarity with customs or vendor management is an asset.
• Solid organizational skills and attention to detail.
• Basic H&S understanding and compliance mindset.
• Proficient with Microsoft Office or Google Workspace.
• English is an asset.
